How Notary Public Services.sg collects, uses, discloses and protects your personal data, in line with Singapore's Personal Data Protection Act (PDPA).

Notary Public Services.sg ("we", "us", "our") provides notary public and commissioner for oaths services in Singapore, including notarisation, certified true copies, apostille and legalisation. We are committed to handling your personal data responsibly and in accordance with the Personal Data Protection Act 2012 (PDPA).
This policy explains what personal data we collect when you contact us, request a quote, or use our services, and how we handle it.
2. Information we collect
Depending on how you interact with us, we may collect:
- Identity details such as your name, and where notarisation requires it, your NRIC or passport information.
- Contact details such as your phone number, WhatsApp number and email address.
- Service details such as the documents you ask us to notarise, the destination country and any instructions you provide.
- Correspondence between you and our team, including WhatsApp and email messages.
- Basic technical information collected automatically when you visit our website (see Cookies below).
Because notarisation is an identity-based legal act, we may be required by law to sight and record identity documents. We only collect what is necessary to provide the service you request.
3. How we use your data
We use your personal data to:
- Respond to your enquiries and provide quotations.
- Verify your identity and carry out the notarial service you request.
- Arrange SAL authentication or apostille, embassy legalisation, translation, courier delivery and mobile visits where applicable.
- Communicate with you about your appointment, documents and payment.

4. Disclosure to third parties
We only share your data where it is necessary to deliver your service or as required by law. This may include:
- The Singapore Academy of Law (SAL) for authentication and apostille.
- The Ministry of Foreign Affairs (MFA) and relevant foreign embassies for legalisation.
- Translation providers and courier partners engaged on your behalf.
- Government or regulatory authorities where disclosure is required by law.
We do not sell your personal data, and we do not use it for third-party advertising.
5. Data retention
We retain personal data only for as long as necessary to fulfil the purpose for which it was collected, to meet our legal and professional record-keeping obligations, and to resolve any disputes. When data is no longer required, we take reasonable steps to securely dispose of or anonymise it.
6. How we protect your data
We apply reasonable administrative, technical and physical safeguards to protect personal data against unauthorised access, use, disclosure, loss or alteration. Access to your data is limited to personnel who need it to provide your service. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
